Our process

How It Works

Good security is planned before it is deployed. Here is exactly what happens after you contact Vigilant CQ Security: who visits, what we look at, what you receive in writing, and how we keep the service on track once officers and systems are in place.

  • Site visit before any quote
  • Written, itemised proposal
  • Planned handover on day one
  • Ongoing supervision and reports
How It Works

Enquiry and risk assessment

The more we know upfront, the more useful the first visit. When you request a quote, tell us the kind of property, its address or area, operating hours and what prompted the enquiry, whether that is a recent break-in, a new building or a contract coming to an end. Photos of gates, fences and camera positions help.

On site, we walk the perimeter, look at entry and exit points, lighting, sight lines, staff and visitor movement, and the state of any alarms, CCTV or fencing. We also ask about incident history. This forms the basis of a security risk assessment.

Proposal and contract

You receive a written proposal explaining what we recommend and why: number of posts, armed or unarmed officers, shift pattern, supervision, patrols and any electronic security. Options are laid out so you can see the trade-offs. Once you are comfortable, a service agreement sets out the scope, start date, reporting and terms. Once-off requirements, such as an event or an escort, are quoted separately from ongoing contracts.

Deployment, supervision and reporting

Before day one, site instructions are agreed with you: who is allowed in, how visitors and deliveries are handled, when to call you and how to escalate. Officers are briefed on those instructions and take up post with an occurrence book. Equipment is installed and tested before handover.

After that, supervisors visit posts, review records and follow up incidents. You have a named contact, and the plan is reviewed when your site or risks change. Learn more about our guarding services.

Ten steps to a working security plan

  1. 1

    Enquiry

Send a quote request, chat to us or phone the office with your site type, area and concerns.

  2. 2

    Call-back

We clarify the basics and book a convenient time for a site visit.

  3. 3

    Site risk assessment

We inspect access points, perimeter, lighting, routines and existing systems, and talk through past incidents.

  4. 4

    Written proposal

You receive recommended posts, shifts, patrols and electronic security with clear scope and terms.

  5. 5

    Agreement and deployment

Once signed, officers are briefed on site instructions and any equipment is installed and tested.

  6. 6

    Supervision and review

Supervisors check posts, reports flow to you, and we adjust the plan as your needs change.

  7. 7

    Incident response

Incidents are handled on site, escalated to response or police where needed, and logged in the occurrence book.

  8. 8

    Reporting to you

You receive regular reports on shifts, patrols, visitors and incidents, so you always know what happened.

  9. 9

    Relief and continuity

Leave, illness and training are covered by briefed relief officers so your posts are never left empty.

  10. 10

    Review and upgrade

We meet to review results, adjust posts or add electronic security as your site and risks change.

Frequently asked questions

Do I have to pay for the site assessment?

Ask us when you book. For most guarding and electronic security enquiries the assessment forms part of preparing your proposal. Where a detailed written risk assessment report is required as a stand-alone deliverable, we will confirm the scope and any fee before the visit.

How long does it take to receive a proposal?

It depends on the size and complexity of the site. Straightforward guarding or alarm requirements are usually quick to prepare, while larger multi-post or multi-system sites take longer. We will tell you when to expect the proposal at the end of the site visit.

Can the plan change after we start?

Yes. Sites change: new buildings go up, hours shift, incidents reveal new weak points. We review the plan with you and adjust posts, patrols or systems, with any change to scope confirmed in writing.

Who do I contact once the service is running?

You receive the details of a responsible manager and, where relevant, monitoring and dispatch contact details in your contract. Day-to-day matters go to your manager; emergencies follow the procedure agreed in your site instructions.
