What we collect

Quote and contact forms: your name, phone number, email address, company, site address or area, details of the security you need, and any message you write.
File uploads: site photos, plans or documents you choose to attach to a quote request.
On-site chat: your name, phone number and email address, which we ask for before a chat starts, and the content of the conversation.
Email and phone: information you share when you contact us directly.
Website usage: technical data such as IP address, browser and device type, pages visited and referring site, collected by our analytics and security tools.

Please do not send us sensitive personal information through the website unless we have asked for it.

How we use your information

To respond to enquiries, arrange site assessments and prepare quotes and proposals
To provide, manage and supervise services under a service agreement
To keep the website secure and protect it against attacks and misuse
To understand how the website is used so we can improve it
To meet legal and regulatory obligations

We process information on lawful grounds under POPIA, such as your consent, taking steps to conclude or perform a contract with you, our legitimate interests, or compliance with the law. We do not sell your personal information.

Website tools that process data

This website uses Wordfence for security and firewall protection, WP Statistics and Visitors Traffic Real Time Statistics for visitor analytics, LiteSpeed Cache for performance, Really Simple SSL to keep connections encrypted, Forminator for some older forms, ClickFire SEO for search settings, Elementor for some older pages, and our own on-site chat and quote form tools. Fonts may be loaded from Google Fonts, which means your browser connects to Google's servers. More detail is in our Cookie Policy.

Who we share it with

Personal information is shared only with people who need it to help us serve you, such as our staff, our website hosting and technical service providers, and professional advisers, all of whom must keep it confidential and secure. We may disclose information where required by law or to protect people or property. Some service providers may store data outside South Africa; where this happens, we take steps to ensure the information receives adequate protection as POPIA requires.

Security and retention

We use reasonable technical and organisational measures to protect personal information against loss, misuse and unauthorised access, including encrypted connections and website security tools. We keep information only for as long as needed for the purpose it was collected, for the duration of any service relationship, or as required by law, after which it is deleted or de-identified.

Your rights

Under POPIA you may ask us to confirm whether we hold your personal information, request access to it, ask us to correct or delete it, object to certain processing, and withdraw consent where processing is based on consent. To make a request, email info@vigilantcq.co.za. We may need to verify your identity first.

If you are unhappy with how we handle your information, please contact us so we can try to resolve it. You also have the right to lodge a complaint with the Information Regulator of South Africa.
